Bookings (top)
Provisional bookings can be made at any time up to a year in advance by contacting the Schools' Centre. Bookings are confirmed in writing along with details of fees that apply based on the information provided at the time. Schools must check the booking details (dates, pupil numbers and programme) and return a signed confirmation slip to secure the booking. Please note that a cancellation charge exists for all bookings.
Schools may book to bring up to 50 pupils per day to Sparsholt (depending upon the pupils age/ability and the choice of activities). Partial funding from Hampshire Schools' Forum means that fees for Hampshire maintained schools are lower than those for non HCC maintained schools. Fees are calculated on a daily basis and vary depending upon the number of pupils visiting.

Fees for HCC maintained schools (1st April 2011)(top)
- £140 for up to 20 pupils per day
- £160 for 21-25 pupils per day
- £190 for 26-30 pupils per day
- £220 for 31-35 pupils per day
- £250 for 36-40 pupils per day
- £280 for 41-50 pupils per day
Some of the GCSE/AS/A2 programmes offered by the Schools' Centre have higher fees to cover the additional costs that arise when Sparsholt College teaching staff and resources (eg. microbiology labs) are used by visiting schools. Please contact the Schools' Centre for further details.
Fees for other courses
- £90 for a half day visit
- £400 for 5 half day visits block booked
- £200 for an OUTREACH visit (1 teacher for 1 day)
Fees for non HCC maintained schools and colleges (April 2011) (top)
Two fee bands apply to non HCC school visits depending upon whether one or two Sparsholt teachers are required to deliver the programme. The bands are shown below. For some KS1/2 groups, it is possible to accommodate groups of up 35 pupils with one Sparsholt teacher. In such cases, the daily fee of £250 would apply. Please contact the Schools' Centre to discuss your requirements.
- £250 for a day visit taught by one Sparsholt Teacher
- £375 for a day visit taught by two Sparsholt Teachers

Payment of Fees(top)
Schools will be invoiced approximately one month (20 working* days) before the visit takes place. Information from the booking confirmation will be used to prepare the invoice and to plan Centre teaching staff and activities. A working* day refers to week days, term time only and, therefore, does not include school holidays or weekends.
Schools must ensure that they notify the Schools’ Centre of any changes (eg. reduced pupil numbers) at least 20 working* days before the visit, or full fees will apply.
Where changes to the booking are made after the invoice has been sent (less than 20 working* days before the visit), the school will be charged a £10 administration fee in addition to any other fees that apply. Please note: Programmes and activities are planned based on the details provided at the time of booking. Last minute changes eg. increases in group size cannot always be accommodated as adequate staffing may not be available.
Cancellation Policy(top)
Schools & colleges that cancel their booking within 20 working* days of the course will be charged full fees plus a £10 administration charge.
A working day* refers to week days, term time only and, therefore, does not include school holidays or weekends.
The Centre reserves the right to amend the fees at any time at their sole discretion. Schools will be notified in good time of any such amendment. Policies are subject to annual review by the Centre’s management committee.
In the event of unforeseen circumstances leading to the Schools’ Centre cancelling a visit (eg. closure of the College site due to heavy snow/ice) the Centre will fully refund the booking fees paid to the Centre by the school but will not be liable for any other costs arising from that cancellation.
